What is a Stakeholder?

 

By PMI definition, a stakeholder in project management is anyone who has an interest in seeing a certain endeavor succeed. They are usually impacted by the outcome of a project in one way or another.

 

There are several reasons to why are stakeholders important:

 

Stakeholders can have a varying extent of duties and authority when it comes to project progress. In most cases, you’ll need to secure a ‘buy-in’ (approval) from different stakeholders to move the project towards completion.

They exercise direct influence (positive and negative) over the project outcomes.

Stakeholders also contribute their skills and expertise to formalize the project roadmap, scope, and execution sequence.

Lastly, some project stakeholders (sponsors) will have a financial interest in the project, thus they’ll be highly interested in receiving information on the project progress.

 

In simpler terms, stakeholders are the different types of people with different objectives who can be affected by or affect, the operations of your business.

Example – Domino’s Pizza Inc

 

As an example of stakeholder theory, we take highlights from the 2020 report of Domino’s Pizza Inc.

 

The company is concerned with corporate responsibility through which it ensures the satisfaction of its people and customers, the top quality of its products, the enrichment of its community, and the protection of its environment.

The company runs with a CSR statement, “Do the right things because it’s the right thing to do.” It focuses on their approach toward the community.

The Chief People and Culture Officer of the Company, David Klages, said, “This is a people business as much as a pizza business.” That further shows their concerns about customers, suppliers, and employees.

The report further states that a supply truck arrives at a Domino’s Pizza Enterprises Ltd. store somewhere in the world every minute. It shows the level of procurement the company is involved in.

Overall, the company is much concerned about the satisfaction of its customers. The customer is asked to provide feedback on their order for every delivery it makes. That makes the company responsible for each order.

The following suggestions draw on the manual Democratic governance of schools (quoted here as DGS) by Elisabeth Bäckman and Bernard Trafford, Council of Europe Publishing 2007, pp. 51 – 59.

 

In a democratic school community, it is important that all stakeholders have the opportunity to participate. They should be involved in communication, networking, communication and decision-making. By involving the local community, your school demonstrates that it does not wish to seclude itself, but rather play and active part in society. Members of the school community are actors, not spectators, whether on the school premises, or defending a democratic society, if necesssary (see DGS, p. 51).

 

As a school principal and stakeholder, you play a key in initiating, framing and encouraging all other groups of stakeholders to play their part. This role is challenging, as the number of staff members, students, and employees is often equal to the workforce in middle-sized companies. School principals interact closely with internal stakeholders, teachers, students and employees. On the other hand, there are external stakeholders, such as parents, school authorities, local policy makers, and donors. As school principal, you cannot control the behavior of any of these groups, but you can appeal to their shared interest in the school’s success. Therefore, your personal and professional outlook is decisive when you attempt to get all stakeholders involved in school life.

Let’s talk about the importance of stakeholders, prioritizing stakeholder engagement and some essential tools to help you get it all done. 

 

What’s a stakeholder?

 

Stakeholders can include customers, employees, community members, politicians, media, shareholders, suppliers, investors, government departments, regulators, neighboring businesses and nearby residents. Plus all their extended networks of families, friends and colleagues. These people all:

 

Have their own goals and objectives

Make important decisions that may affect your organization

Have lives that may be affected by your organization’s decisions

Are financially or physically better or worse off when things change

Are connected to a wider network of people who are, in turn, affected by any changes and decisions

 

So, why do stakeholders matter? And why would you want to engage them?

 

here are a lot of different ways to do your stakeholder identification, but usually the best place to start is with a brainstorming session. Ask yourself “what individuals or groups of people are likely to be affected by my organization or project?” and “who might influence the project or organization, or the people involved in it?” and then write down anyone that comes to mind.

 

From there, expand on each individual or group and map out anyone they’re connected to who might also get the flow-on effects.

 

It’s normal to start with a list of stakeholders, but then add to it over time – there are usually more potential stakeholders than you think.

 

Depending on your organization, you might focus on the groups most closely connected to your objectives. For example, if you’re a business with a goal to increase your profits through a new initiative, your most important stakeholder group will probably be your customers. Or if you’re a government organization working on a large development project, your most important stakeholder groups would be those people most likely to oppose your project. That way, you can help change their sentiments from negative to neutral or positive.

 

One technique you can use to prioritize stakeholders is stakeholder mapping. This involves classifying stakeholders based on their level of Influence, impact and interest. From there, you can develop engagement strategies according to the stakeholder mapping groups you’ve created.

How to Perform a Stakeholder Analysis

Stakeholders are to a project like players are to a team. Having the best players is one of the easiest ways to win the game, but strategy and tactics led by the coach (project manager) can go a long ways.

 

Thus, successful projects know who their stakeholders are and what motivates them. That’s where stakeholder analysis comes in.

 

Before stakeholders can be analyzed, they must be identified. It is remarkably easy to overlook a small stakeholder who’s ability to derail the project becomes disproportionately large when they are not adequately consulted. Don’t give the ball away early in the game else you will have a mountain to climb.

 

A stakeholder register is developed and updated regularly with stakeholder changes. Here is a quick checklist to help identify project stakeholders:

 

Executives are stakeholders from the parent level organization, including the project sponsor.

Customers pay for the product or service (the deliverables) the project produces.

The Project Team produces those products and services.

Technical / Department managers provide expert advice and resources to the project.

Lenders, creditors, and investors provide financing to the project.

Suppliers provide external products and services.

Governments produce regulations the project must abide by, and issue permits and approvals.

Local committees and boards approve the project’s deliverables.

Unions negotiate for better working conditions and pay for the project team.
