Is this secure enough and reliable? We can work off PDFs but some graphics will not be as high of quality.

Definitely- I know others organize better in this haul than I. So mine is more chronological then by category.
If it is just in reference to us making sure we have the best quality of that video- and fast we should all understand.
We all remember SOTU video tracking. We have to do it better and faster than that. USB drives are cheap and a 8-16gb one will do the trick if you want to have an on the go reference. But it will take longer to copy off of.
Burning breads to DVD ala Mr. Roboto may also deem worthy as a way of archival.
